Duties & Responsibilities

As an Administrative Specialist, you will provide direct oversight and accountability to grant administration and construction administration.  You will drive daily tasks relating to these areas, while communicating between CBS² staff, external clients, and resource contacts to ensure requirements and timelines are met. You would report to the Administrative Specialist Technical Leader. Work location will be our Chippewa Falls, WI office, but for the right candidate alternate work locations would be considered.

  1. Responsible for Grant Administration duties, including but not limited to:
    • Identifying and researching grant opportunities
    • Writing and submitting high-quality grant proposals or applications, along with supporting documentation
    • Collaborating with internal stuff and external clients to gather relevant information and details
    • Ensuring funding requirements are met in relation to all Construction Administration items
    • Tracking and analyzing grant metrics
    • Administration of grants following award, including items such as payroll review and tracking, reporting, requesting grant funds, correspondence with grant agency, assuring grant guidelines are followed from pre-bidding through end of construction
    • Performing other duties as assigned
    • Leading collaboration calls and efforts
  2. Responsible for Construction Administration duties including, but not limited to:
    • Specifications coordination and administration
    • Conformed Contracts creation, coordination, and administration
    • Bidding coordination and administration
    • Coordination and administration of Applications for Payment
    • Coordination and administration of Change Orders
    • Coordination and administration of Submittals/RFIs/Shop Drawings
    • Facilitating bid openings and other construction meetings
  3. Support of our technical groups
    • Our team provides a lot of support for our municipal team, but we are currently exploring ways to assist with administrative-type tasks for our other technical groups, so this position would be part of ourintroductory support of different areas such as WisDOT construction,architecture, etc.

Qualifications

  • Bachelor’s degree in related field or equivalent professional experience
  • Ability to multi-task
  • Detail and deadline orientated
  • Exceptional written and verbal communication skills
  • Ability to organize, format, and proof information in Microsoft Office products (Word, Excel, etc.)
  • Ability to work as a team andindependently
